Form software priced per site, not per seat
Matiks charges for workspaces — one programme, school or site each — and never for the people in them. Every plan, including Free, has unlimited seats.
What per-seat pricing does to a team
When a tool charges per user, every new person is a budget decision. So the licences go to two or three people, and everyone else works around them: forwarding responses, sharing one login, or asking the person with access to look something up. The tool ends up holding only part of the work, because only part of the team is in it.
Intake, approvals and follow-up are exactly the kind of work that involves many people a little: a coordinator, an approver, the colleague covering this week, a volunteer who answers the phone. Pricing them per seat makes the tool most expensive in the cases it is most useful.
How Matiks counts instead
A workspace is one programme, one school or one site, with its own forms, records, workflows and files. Plans are priced on how many workspaces you run and what you need them to do — never on how many people work in them.

What a site gets
Each workspace is a whole intake operation: the form builder, records and lists, email from your own mailbox, sequences, workflows with approvals, PDF filling and files with share links. What changes between plans is capability — custom domains and branding removal on Team, roles and permissions and shared templates on Network — not who is allowed in.
Paying annually costs ten months of the monthly price for a year, and plans belong to your organisation rather than to one person, so any admin can manage them.
What Free covers, and when to move up
Free is free for good and sized to run one real intake: one workspace, 3 forms, 200 responses a month and room for 1,000 records, with every seat included. Starter lifts the form, response and record limits and adds every question type, file uploads and follow-up emails. Team and Network add workspaces — 3 and 10 — along with what a larger organisation asks for. None of them adds a charge for people.
Bring everyone in
Invite people from members settings and they land directly in your organisation. Owners manage everything including billing, admins manage the workspace and its members, and members do the work. Adding the fifth or the fiftieth person changes nothing on the invoice.
Who it suits
Per-site pricing fits organisations that run the same kind of work in several places, or with many hands: a network of schools or programme sites, a contractor with several offices, an organisation where intake is everyone’s job for a week a year. Start a single workspace on the Free plan and add sites as the work grows.
